Workflows

BooksPlus organizes work by what the user is trying to accomplish.

Workflow structure

Most work fits into three phases:

Phase Meaning
Prepare / Maintain Set up policies, accounts, periods, users, defaults, and source records
Operate in Current Period Enter, review, approve, post, match, and monitor current work
Review / Reconcile / Close Reconcile, resolve exceptions, review reports, and close periods

Cadence such as daily, weekly, monthly, quarterly, or annual is a task label. It should not be the main way users have to find work.

Current workflow areas

The current guide uses these workflow areas:

  • Company setup;
  • Daily accounting;
  • Sales;
  • Purchases;
  • Inventory;
  • Period close;
  • Corrections;
  • Reports.

Source and control work

Source workflows record ordinary business activity.

Examples:

  • sales;
  • purchases;
  • inventory;
  • daily accounting.

Control and summary workflows review, reconcile, correct, report, or close activity from other areas.

Examples:

  • period close;
  • corrections;
  • reports.

Period close is not the home for ordinary transaction entry. It is where users review readiness, resolve exceptions, post needed adjustments, approve close work, and preserve close evidence.

What to expect

BooksPlus workflows should make clear:

  • what state the work is in;
  • what needs attention;
  • whether an issue is a blocker or warning;
  • what source document or evidence supports the work;
  • what action is available next;
  • whether the result is draft, posted, closed, reopened, or corrected.

Future workflow areas

BooksPlus may later add more detailed workflow areas such as banking, fixed assets, payroll, taxes, planning, budgeting, and management review.

Until those areas are active, the user guide should keep the simpler current structure and avoid creating empty sections.
